Case study
Leads were arriving in volume and in good shape. They were also waiting long enough that the better ones had already spoken to somebody else.
The challenge
Campaigns across multiple funnels were generating steady enquiry volume, but the handover into the sales process was manual. Lead source was lost somewhere between the form and the CRM, which meant budget decisions were being made on cost per lead with no visibility of what actually closed. At peak times, qualification simply did not happen fast enough to keep up with arrivals.
Our approach
Until a closed deal could be traced back to its campaign, any decision about budget was going to be a guess dressed up as data.
First-touch qualification could not depend on human availability at the exact moment a lead came in, especially outside office hours.
Voice workflows handle the opening questions. The moment there is genuine intent, a person takes over.
What we built
Campaign, source and keyword data now travel with the lead into the CRM and stay attached through to the closed deal.
Opening qualification runs automatically on arrival, gathering the basics and scoring intent before anyone picks up the phone.
Qualified leads reach an owner immediately with context attached, so the first human conversation starts from what is already known.
How it ran
We checked whether a single closed deal could be traced back to a campaign. It could not, and that defined the first phase.
Tracking and CRM routing were connected so that source data survived the whole journey.
Voice and text workflows were introduced at the intake point and tested against real arrivals.
Once closed revenue was visible against campaigns, optimisation moved from cost per lead to what actually converted.
The outcome
Campaign and keyword data persists from click through to the CRM record.
Opening questions run automatically, including outside working hours.
The first human conversation starts from what has already been established.
Campaign performance can be judged against what closed rather than what submitted a form.
